I would like to bring your attention to a couple of administrative assistant opportunities currently open in the Offices of Leadership Giving/Special Constituencies in Resource Development. ADMINISTRATIVE ASSISTANT I, Resource Development-Office of Leadership Giving/Office of Special Constituencies, to assist in managing the flow of work through the office by performing a full range of secretarial duties. Responsibilities will include typing, editing, and proofreading correspondence, memoranda, and reports; making travel arrangements; maintaining calendars; duplicating and distributing material and reviewing follow-up actions; initiating correspondence related to memorial gifts and the Katharine Dexter McCormick Society (KDMS); performing research as needed on KDMS members and deceased members of the MIT community; and maintaining web pages by adding pictures, newsletters, upcoming events, and links of interest. Will also prepare Institute requisitions, vouchers, and requests for payment; prepare forms and maintain computerized prospect tracking system; coordinate invitational mailings for dinners/events; manage all logistics for events supporting fund-raising activities; research and prepare annual reports regarding bequest data; forward checks/letters to appropriate offices to record gifts; monitor flow of information related to memorial gifts, contacting appropriate offices for action and/or corrections as needed; and coordinate/assist with departmental projects as necessary.

REQUIREMENTS: a minimum of three years' direct/related experience; ability to independently organize, prioritize, and carry out detailed procedures in a busy office setting with minimal supervision; experience maintaining web sites; initiative, resourcefulness, and ability to manage a high volume of work; and writing, editing, and proofreading proficiency. Must have experience with Macintosh computers and Microsoft Word, Excel, and FileMaker Pro software. Bachelor's degree preferred. MIT-00006148-4

ADMINISTRATIVE ASSISTANT I, Resource Development-Office of Leadership Giving (OLG), to assist the OLG with a range of administrative and fund-raising activities including correspondence and memos, complex travel arrangements, maintaining calendars, organizing mail/e-mail for follow up, and online research and information management. Duties include screening and providing information to callers; tracking flow of information and creating necessary files and documentation; perform preliminary research on prospects (with training), using files and on-line sources; maintaining computerized prospect tracking system; assisting with preparations for and execution of high-level meetings and events; working with prospects on travel arrangements, logistics, and special requests; preparing Institute forms such as requisitions, expense vouchers, and requests for payment; maintaining inventory of supplies; keeping records of budgetary and purchasing transactions; and coordinating or assisting with departmental projects as necessary. There will be contact with volunteers, donors, and people at all levels of the Institute.

REQUIREMENTS: a minimum of three years' direct/related experience; wide ranging knowledge of office procedures; strong organizational skills; ability to independently adjust priorities as needed and carry out detailed assignments; initiative and resourcefulness; and sensitivity to format, personal tone, accuracy, and confidentiality. Ability to manage high volume of work essential, as is a flexible approach to the working environment. Excellent interpersonal, grammatical, and proofreading skills required. Familiarity with e-mail and electronic calendaring software preferred, as is experience with Macintosh computers and Microsoft Word and FileMaker Pro software. Associate's degree also preferred.
